Getting Started Guide

Upload all images to MailChimp Content Studio first

Before editing anything in this CMS, upload every image you need (banner, programme photos, donation image) to MailChimp. Go to Content → Content Studio → Upload. Once uploaded, click each image and copy its hosted URL — it will look like:
https://mcusercontent.com/xxxxxxxxxxxx/images/abc123.jpg

Paste those URLs into the image fields in this CMS. This ensures all images are reliably hosted and will display correctly in all email clients.

Set UTM & Campaign Settings once per issue

Update the Campaign field to match this month's issue (e.g. fieldnotes-jun-2026). This auto-appends tracking parameters to every programme link. You'll see a +UTM badge on link fields — those links are tracked automatically. You never need to type UTM strings manually.

Fill in EN first, then switch to TC to complete the Chinese version

All sections have side-by-side EN and TC fields. Complete English first, then go through each section again for Traditional Chinese. Use the EN / 繁中 toggle at the top to switch the preview between languages and verify both look correct before exporting.

Add and arrange Event Cards

Half cards appear 2-per-row (good for short events). Full cards span the full width (good for flagship events with longer text). You can mix them freely. If a half card ends up alone with no pair, it automatically promotes to full width. Use the ⊕ Dup button to duplicate a card as a starting point for a similar event.

TC image overrides — when to use them

Every image field has a primary URL (shared by both languages) and an optional TC Override URL. Leave TC Override blank unless you have a specifically Chinese-language version of that image (e.g. a banner with Chinese text). If blank, the primary image is used for both EN and TC output.

Save your work and export

Click 💾 Save at any time to save to browser cache — your work is restored automatically the next time you open this file. Use ↓ JSON to export a full backup file you can share with colleagues or keep as a monthly archive. When ready to send, click ⎘ Copy EN HTML or ⎘ Copy TC HTML and paste directly into MailChimp's code editor.

Tips & Best Practices

Email subject line — The Subject field in this CMS is for your reference only. You still set the actual send subject in MailChimp's campaign settings. Copy your subject from here and paste it there.

*|FNAME|* merge tag — The greeting line uses *|FNAME|* which MailChimp replaces with each subscriber's first name. This won't show in test emails — that's expected. It works correctly in real campaign sends.

Test before sending — Always use MailChimp's Preview & Test → Send test email to check layout on both desktop and mobile before sending to your full list.

Recommended image sizes — Banner: any wide landscape (640px wide). Feature hero: 1456×728px (2:1 ratio). Event card images: square format recommended. Donation image: square. All images are cropped automatically.

*|UPDATE_PROFILE|* and *|UNSUB|* — These are mandatory MailChimp merge tags in the footer for CAN-SPAM compliance. Do not remove them. They appear as raw text in test emails but resolve correctly in real sends.

Reusing next month — Export JSON at the end of each issue. Next month, open the JSON file and load it via the cache or simply reuse this same HTML file — your previous session auto-restores. Update the Issue/Month, Campaign UTM, images, and event cards for the new issue.
